Privacy is a fundamental part of an organization’s journey to digital transformation. Being proactive and transparent with employees about their privacy is key to establishing digital trust and ultimately driving the adoption of digital tools in the workplace. That is why we’ve built privacy into the heart of the Workspace ONE platform—making it easier than ever for customers to deliver an excellent employee experience centered around privacy and transparency.
We are thrilled to announce Workspace ONE Privacy Guard, a set of enterprise-ready privacy tools built into the Workspace ONE platform that help customers manage and control privacy policies and clearly communicate these to employees through a consistent experience. Privacy Guard helps organizations adhere with privacy regulations, drive adoption of digital tools (especially in BYOD scenarios), and establish trust with employees.
Let’s take a look at the three core components that make up Workspace ONE Privacy Guard.
1. Employee Privacy Notices in Workspace ONE Apps
Employee privacy notices are fully configurable, and in-app privacy dialogs are built into each of the Workspace ONE secure, productivity apps (figure 1). These notices inform employees of what information on the device admins are capable of seeing, how the information is used, and mitigates device management fears, especially in BYOD deployments.
When a user initially downloads and opens one of the Workspace ONE apps, they are presented with a privacy notice. The notice is broken into the following parts:
1. Device Management (Only in Intelligent Hub): Provides an overview of information collected from the device, helping employees understand what information on the device administrators can and cannot see or collect. This gives employees clarity around things like text messages, photos, personal email and more that are not collected by admins.
2. App Data Collected: Breaks down the data collected by the app in language users can understand. This includes user, device and app information, diagnostics and more.
3. Device Permissions: Clearly lists the operating system level requirements for the app to function properly. This can include things like calendar access, push notifications and more.
4. Privacy Policy: States your organization’s privacy policy. This can also be linked to an external page.
These privacy notices are always accessible within the app, typically under settings. A new privacy notification will also present itself any time a change is made that would impact employee privacy. This includes changes in enrollment status or any changes made by IT in the console across both MDM policies and app container policies.
2. Privacy Notices in Third-party apps through our Privacy SDK
For internally built apps, Workspace ONE Privacy Guard offers a Privacy SDK that makes it easy for developers to build the same Workspace ONE privacy experience into internally built mobile apps. The Privacy SDK is available with any Workspace ONE license and only takes a few minutes to implement. This gives users the same privacy experience across corporate mobile apps. 3. Privacy Officer settings in the Workspace ONE UEM console
Many customers already take advantage of role based access controls in the Workspace ONE UEM console. With Workspace ONE Privacy Guard, a new role is available specifically for a “Privacy Officer”. The Privacy Officer role has access to view devices and system settings that affect users and has full editing rights around privacy.
