VMware Workspace ONE 3.2 Improves User Experience & Modernizes MDM Onboarding

The best way to enable your end users with a complete digital workspace is to provide simple access to all apps and resources. This means giving users the tools to be more productive without tying them down to a specific device or location, all while keeping data secure and only available to those with access.

We’ve taken this message to heart and created a secure solution that delights users with VMware Workspace ONE, powered by VMware AirWatch unified endpoint management (UEM) technology. We’re excited to announce that with the release of Workspace ONE 3.2 on iOS and Android, administrators can take advantage of the new direct enrollment capability. In addition, we added a recommended apps section to help users find the apps that are most important, quickly.

Direct Enrollment

Our thousands of customers have typically relied on the AirWatch Agent to enable end users to onboard their devices into management. Device management enables IT to securely deliver the apps and services users need on their mobile devices—whether it’s a bring-your-own (BYO) or corporate-owned device. The AirWatch Agent also helps with the provisioning of special function devices, such as kiosks or rugged devices.

With the release of Workspace ONE 3.2 and the direct enrollment capability, the end-user flow for onboarding devices into management is now integrated into the app onboarding process, making the experience much easier for users. Now, regardless of the use case, IT is able to say, “Go to the app store, download Workspace ONE, enter your credentials and follow the prompts.” Once end users enter their credentials, Workspace ONE will either give initial access to apps for BYO users, or they will be required to follow additional prompts to enroll, before accessing the app catalog on their corporate-owned device.

Let’s go through some of the advantages of direct enrollment.

Easy Setup for IT Admins

Determining the different management, onboarding flows and access policies for all of your different types of users and devices can be time-consuming for IT. To address this, we made console setup the easy part.

In the Enrollment Restrictions section of the console, simply enable Management Requirements for Workspace ONE to walk through enrollment customization based on users, groups and platforms. Once these are set up, your users will go through the correct workflow, starting from simply downloading the Workspace ONE app and entering their credentials.

One Consistent Message From IT on “How to Get Started”

Previously, if your company chose to support multiple uses cases, like BYO and corporate-owned on all different operating systems, your IT organization had to deliver different instructions on how to get started for each use case. Some users needed to start with Agent and then download Workspace ONE, while others were able to skip Agent all together, causing confusion among users.

Now, users can get started, no matter the use case, by downloading Workspace ONE from the app store, entering their credentials and following the prompts. Based on enrollment restrictions, Workspace ONE will either automatically deliver the pre-populated app catalog or will direct the user through additional steps, enrolling them into device management.

Promoting Adoption

With a single message on how to get started, IT eliminates initial confusion for end users, thereby increasing adoption. Users no longer have to figure out which “getting started” directions will work for their particular use case or go through two separate flows with AirWatch Agent and Workspace ONE. For users who may need to enroll immediately after they enter their credentials, we added messaging to Workspace ONE that educates these users on what is happening and how their device will be affected, as well as clear information regarding privacy protection.

What About the Agent & Adaptive Management Enrollment Flow?

Both the Agent and the adaptive management enrollment flow are still a large part of the Workspace ONE story! Think of Agent as more of the admin app, required for use cases where the admin is setting everything up, such as with kiosk and launcher mode, staged devices, shared devices with check-in and check-out mode and location tracking use cases. The Workspace ONE app is for the end user, for use cases such as BYO and corporate-owned, personally enabled (COPE) devices, Android enterprise enablement and standalone mobile application management (MAM).

Adaptive Management is great for the BYOD use case. The user gains access to the app catalog immediately upon entering their credentials into Workspace ONE, but only has access to the apps that require only a soft layer of security. Once the user is ready to access some of the more secure apps, such as Salesforce, they are prompted to add a Workspace Services profile to their device, providing the extra layer of app security needed. The biggest difference from direct enrollment is adaptive management manages at the app level while the direct enrollment flow manages at the device level, providing a bit more security.

Improved User Experience With Recommended Apps

After the user enrolls into Workspace ONE, the user-friendly experience continues, helping the user access the apps that IT has deemed important with recommended apps.

After completing direct enrollment, the user is presented with recommended native apps that are available for download, before navigating to the full app catalog. Previously, after users enrolled with Agent, apps would be immediately pushed to the device without giving the user any insight into which apps were coming, or whether they were ready to download all of the apps assigned by their admin.

With direct enrollment, the user now sees a screen displaying the native apps that the admin recommends they download. From here, the user is able to choose whether they would like to download some or all of the recommended apps or just move forward to the catalog view within the Workspace ONE app. Once the user accesses the catalog, they can search, bookmark, launch and download apps.

In addition, with this latest release, a Recommended Apps section in the catalog is now available to all users, regardless of enrollment flow. In this section, an you can choose recommended web apps to be included for users to easily find and launch or bookmark. This helps users quickly get started with some of the most important web apps, without having to separately search for each.
